Degree Audit User Training | Modes and Migrations

Within the PROD environment, you have two modes: SETUP and LIVE.

SETUP

SETUP is a control mode for wholesale degree plan changes and test audits. Almost all of your coding will occur in this mode. PROD SETUP uses production data, but is not available to students. This control allows you to make changes behind-the-scenes and run test audits to ensure that the audit is behaving as you expect without disrupting the PROD LIVE mode. When you are satisfied with your requirements in SETUP, they can be migrated to LIVE.

LIVE

PROD LIVE is the true production mode. Students can run and view audits in this mode. Special audits (such as slotting or certified audits) are also run in this mode. The only administrative action you can perform in LIVE is an override. All other changes to degree plans or requirements must be migrated from SETUP.

Mode and course lists

Please note that course lists are not mode-dependent. Changes to a course list will be reflected in both LIVE and SETUP. For this reason, if you are making changes to a requirement in SETUP that involves updating a course list, you are strongly advised to create a copy of the course list, and to use the copy for testing the requirement in SETUP. This will prevent an updated course list from altering LIVE audits until you are ready to migrate it.

Migrations

After your degree plans have been coded in SETUP, the changes will need to be migrated to LIVE. This process synchronizes the SETUP and LIVE modes and allows students to run audits against your updated degree plan. The two most common migrations are:

Content migration
Used for metadata changes on a single requirement. Available to coders. At the bottom of the requirement, click the "Migrate Requirement to Live" button. This will push all changes to that requirement into LIVE. This must be repeated for each requirement. This also applies to overrides.
Sequence migration
Used for any change to the degree plan that alters the sequence of requirements. This includes deleting requirements, adding new requirements, or resequencing the requirements. Sequence migrations are not available to coders; you will need to request a sequence migration from the Office of the Registrar.
Degree Plan Migration: Degree plan migrations can happen at different levels and it is up to the colleges to tell us which level to migrate. The highest level is the college level. The second level is the degree level (for example, LA), and the third level is the field of study (LAHIS). We cannot initiate a migration below the field of study level, which includes tracks or concentrations.
Minor/Certificate Migrations: Minors or certificates can only be migrated one at a time.

Catalog Activation

Catalog activation is the means by which colleges go "live" (migrate into PROD LIVE) for the first time in a new catalog.

The Office of the Registrar completes a special "rollover migration" which copies rules from LIVE in the old catalog to SETUP in the new catalog (for example: 14-16 LIVE rules are copied into 16-18 SETUP). Coders then update their degree plans for the new catalog in SETUP. No degree plans are available in LIVE for the new catalog during this time.

Colleges must take special steps before their rules can be migrated into LIVE for the first time in a new catalog. These steps are contained in a "Go Live checklist," which can be found at the end of this module. Once the steps are completed and the "go live" is received by DA admins, the Office of the Registrar will complete a sequence migration to copy the SETUP rules into LIVE and activate the PROD READY (LIVE) switch for all applicable programs in the new catalog. After this, students will be able to run audits in the new catalog.
