Degree Audit User Training | Authorizations

IDA and supporting systems require users to receive authorization before certain actions can be performed. Every college has an IDA authorizer who is responsible for granting authorizations. If a new authorizer is needed, the college should contact the Degree Audit team.

 

IDA

Staff can view their own roles in IDA via the "Authorizations" link from the navigation menu. Only college authorizers are able to update the authorizations on this page. You may see your own roles by clicking the "View My Roles" tab at the top of the page.

Below is a list of roles found in IDA. An individual may receive multiple role authorizations as needed. Authorization are typically restricted by college, department, or field of study.

Authorizer
A user who can authorize other users. These are typically college-specific. Authorizers in an individual college are expected to update and maintain the authorizations for the users within that college. Requests for IDA roles may be routed to the college authorizers. Users with no Authorizer for their school or unit should have a department contact email the Degree Audit admins for authorization.
Advising Audit Submitter
A user who can submit audits. Individuals with this authorization may submit audits for any degree plan/catalog and for any student, and view all audit results. This authorization changes the layout of the "Audit Requests" page; authorized users will have the option to submit audits through the individual EID, multiple EID, or population request forms.
Certified Audit Submitter
A user who can submit certified audits. This authorization enables the option to run audits as certified audits, which will appear on individual and multiple EID request pages in the LIVE mode.
Official Profile Maintainer
A user who can add, update, or delete tentative and official profiles. The user can also delete default profiles.
Override Maintainer
A user who can override individual rules for a student. These are typically college-, department-, or field of study-specific.
Rule Maintainer
A user who can update requirements, restrictions, and sequence records. These are typically college-specific. Although sequence records may inherit rules from other sequence records (core rules), users will only be able to make updates to the sequence record at the levels for which they're authorized. Authorization to UGS does not permit updates to requirements for other colleges. The Office of the Registrar is responsible for updating U-level restrictions.
Tentative Profile Maintainer
A user who can add, update, or delete tentative profiles. The user can also delete or replace default profiles.

 

Minors/certificates (MN/CTs)

Authorization to the MN/CT maintenance systems is handled in one place. Authorization may only be requested by application approvers, as identified on the MN/CT request form submitted to Official Publications. Such requests may be sent via email to the Degree Audit team, or via the request form found on the navigation menu of these systems.

Authorization enables users to access and make updates in the following systems:

MN/CT Inventory System
Used for maintenance of active MN/CTs offered by the University. Includes credential metadata. School code required; field of study optional.
MN/CT Administrative Suite
Used for maintenance on a per-student basis for the MN/CTs that the student is approved to pursue. School code required; field of study optional.
Student applications / Registrar Document Inbox (eDocs)
Used to make decisions to approve or deny student applications for MN/CTs. School and field of study required.

 

Topic title inventory

This authorization is VIEW-only and is granted to all staff by default. Authorization to the topic title inventory allows users to browse titles for topics courses offered by the University.

 

Degree Plan Interface

This authorization is VIEW-only and is granted to all staff by default. Authorization to the Degree Plan Interface (DPI) allows users to search and view information on degree plans and transcript-recognized minors/certificates, based on code and catalog.
