Degree Audit User Training | Reports

Knowing what reports are available can save you time. You can find them on the IDA Reports Page, the Minor/Certificate Admin Suite, or even in your inbox as we work together to clean up profiles or get credentials conferred.  

In general, to access reports you use eReports, as each submitted report will be routed to your eReports folder. If you do not know how to setup your eReports folder, we recommend contacting LAITS. If you have one setup, you can modify the following link to access your folder: https://webdav.austin.utexas.edu/eReports/"YOUR-UTEID-HERE"/

Profiles by Degree Plan Report  

Generates a list of students based either on your school code, such as “L” for COLA, or a specific profile such as “LAHISBA” for history. The report also has several options to exclude students from the report.

Once you click the submit option on the report, you will know it was successful when this message shows.

In the report, you will see the information that is provided on the IDA profile page, as well as some additional fields such as First Semester Enrolled (FSE).   

PictureThere are multiple columns for” Linked MN/CT.” These are used to let you know which minor or certificates have been attached to the specific profile. The report also has information about the status of the attached minors and certificates:

The Degree Audit team sends out another version of this report in early fall/spring that contains all CSUs as well as filtering instructions on how to find students who need a new or updated profile.  

 

Degree Plan Interface Report

Override Reports 

There are three reports, each of which return the same types of information.

The difference between the three reports is the amount of data they target. The first targets the entire School.

The second targets a specific degree plan:

The last one is even more targeted, and uses the rule ID.

For each report, you will most often target ”Live” as that is where the majority of overrides are performed.  

 

LR Report

Includes four files: 

  • LR Remaining Req Details provides a list of students. Each results contains the student EID, name, profile, catalog, date audit was run, and whether the audit used in progress, planned, or future registered coursework.  

  • LR Audits w No Remaining Reqs is similar to the above report but only contains students with no remaining requirements. 

  • LR Degree Audit Problems lists potential problems for a student, such as enrollment status.  

  • LR Remaining Req Stats lists students who match the expected CCYYS that still have remaining requirements.  

Certified Verification List Report 

This report lists students who are coded on the VO screen to graduate during the current semester. This report is only effective after certified audits have finished running following the end of semester grade processing and up to degree conferral. The Degree Audit team will run this report twice on behalf of all undergraduate colleges and schools during the conferral period. Enables users to see who has a certified audit, whose certified audit is at 100% or not, as well as minor/certificate information.
