Meeting Minutes

Announcements

Certified audits—reminders and due dates: Changes to the preference sheet for certified audits are due to the Office of the Registrar on December 7. If no response is received by your college, Registrar staff will use previously-assigned preferences. Certified audits will run December 9-18.

Minors testing: December is the last month for intensive minors testing. We will move the QUAL changes into production in January. Colleges are encouraged to continue testing and to provide feedback. Registrar staff can authorize access for any advisers involved in testing.

Senior Countdown update: The Senior Countdown has been added to the IDA results page in QUAL, under the student’s major codes. This change will be carried to PROD along with the rest of the changes in IDA after testing on the new minors has been completed.

Discussion

Rollover migration planning: After we move the QUAL changes into production, all colleges (starting with UGS) will have their requirements rolled over from 14-16 PROD LIVE to 16-18 PROD SETUP. Registrar staff is planning to complete the rollover migration around or before the first class day in January. Once complete, colleges will receive a report of all degree plan codes copied over to 16-18 for review.

Feedback on minor system interfaces: Registrar staff requested feedback on planned or implemented features in the new minors systems.

Planned:

 

  • From multiple EID request page: adding credential type to minor plan code and removing the drop-down menu.
  • From profile update page: building a dynamic form based on catalog when adding a profile, hiding non-applicable fields.
  • From profile update page: displaying only the first of 20 fields for entering a pre-2016 minor and adding a clickable button to expand to 20 as needed.

 

Implemented:

 

  • From audit results: If a minor is not required for the major degree plan, and therefore, the estimated hours is set at “0”, then, on the results page, the minor trigger requirement will be marked as “complete” even if the student’s degree profile includes a minor.

 

These changes were supported by the attending user group.

Profile maintenance for non-enrolled students: Registrar staff would like to remove profiles for non-enrolled students and wants input from the colleges on how to proceed. The colleges prefer to retain those profiles for students who return to the University. One option suggested was to keep profiles for all valid catalogs. The concerns will be discussed with the Registrar tech team and will be addressed at a later meeting.

Performing overrides on minor trigger requirements: Colleges have the ability to override the minor trigger to revert it to a standard requirement with a course list. This is useful for students who are double-majors where the coursework for one major can be used to fulfill the minor requirements for the other major.

Such overrides are not certified as transcript-recognized minors. Audits will be added to IDA that will prevent users from 1) adding overrides to the trigger requirement when a minor exists on the student’s profile; and 2) adding a minor to the student’s profile when an override exists on the trigger requirement.

The minor trigger override is performed similarly to standard quick and advanced overrides, where a new section-option can be added with a course list on the fly. Adjustments to the metadata can be completed through the advanced override interface. For step-by-step instructions on completing a minor trigger override, see this document (work in progress).
