Overview:
- Reviewed process map to determine what reporting is needed.
- Discussed college reporting needs and access is needed.
- Reviewed minor timing and application to student profiles process.
Student Application Reports:
- The reports will be in an excel spreadsheet with all of the admitted students to the minor listed.
- The reports will have university wide minor information, not just a specific college/school. Colleges will filter with excel.
- In the reports, colleges want to see the approved, pending, and rejected students and minors, along with the total numbers for each and when the student was approved (approval date).
- Inlcude GPA, majors, and hours completed in student listing reports.
- Colleges want to know who approves the minor(s) and would like to see this information in the reports.
- The rejection reason will be displayed in the reports.
- Student enrollment status will be reported in the spreadsheet.
Degree Plan System Reports:
- Provide a report with all degree codes and plans.
- Give colleges access to Degree Plan system. (This may be phase 2). Create a search component for a listing screen for degree plans.
Student Profile System Reports:
- Send the student profiles before slotting takes place but not the reports so colleges can make the appropriate adjustments.
- Include GPAs, majors, and hours completed in report.
- There will be two seperate reports: the first with the approved, pending, and denied students to the minor(s), and the second with the student profile information.
IDA Certification Reports:
- Certified lists for both majors and minors will be sent to the owning college for the time being. After phase 1, we will come back and discuss if this will work in the long run.
- Colleges would like for the reports to be available to them at any time during the semester.
Questions/Concerns/Issues:
The language of "rejected" vs. "denied" was discussed. Settled on "denied" for now but are still working on the language. This may impact the entire eDocs system, so we may have to wait until phase 2 to implement.
Q:If a student has a minor that is not needed for their degree and completes the degree, what happens to the minor?
A:The minor will get taken off of their profile. The student would be contacted first by the advisor.
Q: If a student withdraws for over a year and was approved for a minor, how would the minor be affected?
A: As long as the profile is active and the minor is on the profile, the minor will still belong to the student.
Action Items:
- There will be a follow up meeting about the timing of the minor system and impact to recertifying vets/athletes for changes.
