Notes/Actions items
Summer
Orientation Audits
Any issues or feedback pertaining to summer orientation
audits was requested. Audits were helpful for external transfers in Pharmacy, Business
Administration, and Natural Sciences. Prior to registration and advising,
students generally do not run audits and try to petition for flags instead.
There was little other feedback.
Status
of 2008-10 catalogs
Nine colleges are currently live. The remaining colleges
should be ready to move to live soon. Advisers in the colleges have been
notified that NRDEGR will be sunsetted September 30, 2014. The transition is
eased by advance notice and by having multiple catalogs in IDA 2.0 already. Some
functions of NRDEGR (including profile screens) will remain in another
mainframe application.
Status
of Certified Audits (Delete after graduation + 5 years)
Certified audits in NRDEGR will be archived during
their regular retention period. There are various situations in which users may
need to access a certified audit or an expired catalog.
Liberal Arts, Fine Arts, Business Administration,
and Natural Sciences all mentioned a need to be able to run audits with expired
catalogs. Liberal Arts asked if there will be a way to find expired profiles
for students who did not graduate.
The Office of the Registrar will determine for
certain if there are any objections to users mapping courses by hand against an
expired catalog in lieu of running certified audits online. Natural Sciences does
not award degrees they do not currently offer unless it can be proven that the
degree was earned retroactively. The colleges generally reject moving non-graduated
students to newer catalogs.
The Office of the Registrar will follow the
five-year retention procedure. Colleges do not currently keep hard copies of
certified audits, but students can receive transcripts and diplomas as needed.
Natural Sciences has not received print jobs for the
list of certified, clear, and non-clear audits. The Office of the Registrar
will look into the issue and follow-up to determine if there are other options
available.
XM
commands in NRDEGR and which functionalities are still needed
Certain XM commands will remain after sunsetting
NRDEGR. The XP, XL, XG, and XS commands were identified as heavily-used screens
by the users. Liberal Arts uses the PX screen to search profiles, a feature not
currently available in Reporting Toolkit. View access will be eliminated, but other
authorizations will remain.
Action Item 1:
Provide feedback identifying which profile functionalities are still needed in
NRDEGR if you were not at the meeting, by Friday, August 15, 2014.
Next meeting
The next meeting is scheduled for September 18th,
2014, from 2PM to 3PM in FAC 228D.
